Managing meeting space requests from show participants and booking the space at an event has always been a time-consuming manual process for show management.
Convention Data Services’ (CDS) new product, Book-It, provides a solution to this issue by allowing event participants to request space through a responsive online interface using their computer or mobile device. With Book-It, the process is now seamless and consistent. This new product saves valuable staff resources and mitigates meeting space overlaps or conflicts.
“CDS’ new Book-It application fills a critical need for our show management clients and allows them to easily manage function room reservations in and around event venues. As a complement to our core registration and lead management solutions and services, Book-It is another tool in our suite of products to help our clients connect attendees at their events,” said John Hawley, CTO, Convention Data Services.
All reservations and payments occur within the same event database as the registration process. The intuitive, user-friendly administrative interface allows show management to vet and approve each request, notify the requestor of availability and send automatic follow-up email confirmations. This product offers show management a way to provide their exhibitors and attendees with a time-saving tool and the advantage of one-stop shopping.
Exhibitors and attendees have the ability to maximize their event experience by booking a meeting space at the event. The advantage is access to the event demographics and the ability to leverage that access for focus groups, pre-product discovery meetings and board meetings. By booking through show management the meeting coordinator can get just the right group together for the meeting. And those invited to the meeting will be more likely to attend if they know it is a credible event that has been approved by the show producer.
The responsive Book-It site collects information about the needs and requirements of the function, including:
- Event type
- Room size, type and layout
- Audiovisual requirements
- Choice of pre-approved locations
- Dates, times and set up for meetings
- Target audience, attendee type and estimated attendance numbers
- Promotion codes for multiple meetings and set-up requests
